Sending options surveys to students

Introduction

Send options surveys directly to students by email. Students will receive four email messages to invite, remind, confirm receipt of their preferences and let them know when the survey has closed to them.


Each email contains a unique link to a webpage for the student to select and send their preferences straight into Options. They will be able to update their preferences right up until the deadline. Any changes after that can be manually updated in Options by a user with Timetabler permissions.


This article outlines how to send options to students and how to enter or update preferences manually.

Send options subjects to students 

When your students and subjects are set up, you can send the form to students and set a deadline for their responses. 


Before sending: check all students and subjects are correct. You cannot undo or cancel once options are sent. 


From the Student preferences screen, select Send options to students


  1. A warning message appears asking you to confirm that you want to send options to students. Select Next to continue
  2. Select a date to set a deadline for students to send or edit their subject preferences  
  3. Select Send options


Note: When you send options, we email each student inviting them to select their preferences by the deadline.

Each email contains a unique link the student can click on to get to their options form. Students will receive the following emails:

  • Initial invitation email 
  • Reminder email (3 days before the deadline) 
  • Submission confirmation email 
  • Survey closed email 


You have sent options to students. 


Enter preferences manually 


If student preferences have already been collected outside of Timetable 2.0, you can enter preferences manually instead of sending an options survey. 


From the Student preferences screen: 

  1. Use the dropdown fields to select student preferences
  2. Complete the required options for each student
  3. Select Allocate options when all preferences have been entered

Monitor student options  

As students select their preferences, you’ll see them populate the Student preferences screen. 


They will be able to make and edit their selections right up until the set deadline. 


You can manually adjust their preferences using the dropdowns even if the deadline has passed. 


Students can continue updating and resubmitting their preferences until the survey deadline expires. Once the deadline passes, students can no longer make changes, but timetablers can still make manual adjustments if required.
