Introduction
Timetable 2.0 requires student, employee, room and subject data to create timetables.
If you don’t have a MIS/SIS or your MIS/SIS is not connected to Timetable 2.0, you can upload your data manually.
This article outlines how to download your school data from your systems and upload it into Timetable 2.0.

Before you begin
You will need Data Controller access to be able to manually upload data in Timetable 2.0.
Check with your school’s system administrator if you require access.
Note: uploading data into Timetable 2.0 will update data across any connected Tes products.
Manually download data to our templates
Go to Admin and select Upload data.
You will see that you are able to upload data for Students, Employees, Rooms and Subjects.
First, you need to create an .xlsx file for each area of data.
We have provided .xlsx templates to structure the required data for each of these sections. Downloading the templates will add the files to your computer.
For example, Student data required:
| Data | Description |
| First name | Student’s given name (required) |
| Last name | Surname, family name of student (required) |
| Student email address (required) | |
| Date of birth | Student birth date (required) |
| Gender | Student gender (required) |
| Source ID | MIS/SIS ID or unique identifier (required) |
| Year group | Year the student is in (required) |
| Registration group | Home room or tutor group (optional) |
| Group1Code | These are custom groups that you may have that don’t exist in your MIS/SIS e.g.: you may have a You can add as many columns as required to capture all custom groups (optional) |
| Group2Code | |
| Group3Code |
When all your data is populated into the required columns, you can save the file locally.
Repeat these steps to create .xlsx files for teachers, subjects and rooms using the appropriate template.
Note: although some columns are optional for students, they are all required for teachers, subjects and rooms.
Upload data into Timetable 2.0
Once you have completed your Student, Teacher, Subject and Room templates and have 4 .xlsx files, you can upload these into Timetable 2.0.
Note: Uploading data will update it across all connected Tes applications.
To upload data files, go to Timetable > Admin > Upload data and select:
| Student .xlsx | Teacher .xlsx | Subject .xlsx | Room .xlsx |
| Upload student data | Upload staff data | Upload subject data | Upload room data |
You’ll need to add the file or drag and drop it in to upload for each file in its corresponding section.
Once each file is uploaded successfully, you’ll see a confirmation next to its relevant section.
Troubleshooting manual upload
- When uploading your .xlsx file, the upload will not run if there are any issues with the data and will let you know how many issues were found. Missing data is usually the cause of issues which you can review and fix in the .xlsx file.
- If you want to make a change to your data, you can update the .xlsx file/s and upload again.
