Introduction
Teacher cover can be quickly created and managed two ways. One directly within the published timetable, which can be helpful when unplanned teacher absences occur or in Covers to handle planned cover or multi-day or lesson cover.
Covers allows you to assign cover for planned or unplanned teacher absences, update allocations at any time, and monitor cover status to ensure classes are appropriately staffed.
This guide outlines how to add teacher cover directly in the published timetable and in Covers.

Add teacher cover directly in published timetable
Teacher cover can be managed directly from the published timetable, making it easy to add and update unplanned cover.
To add a teacher cover, go to Published timetable > Timetable and filter on the teacher requiring cover:
- Locate the impacted lesson/s and select Assign teacher.
- Select a teacher to cover the lesson using the dropdown.
- Select Create cover.
You have covered a lesson directly in published timetable.
Note: You will see the cover teacher in the lesson displayed on the timetable. You can edit the cover teacher by selecting the pencil icon.
Create teacher cover in Covers
Particularly useful when covering for planned leave, go to Covers > Teacher covers and select Create teacher cover:
- Select the teacher from the dropdown.
- Select start and end dates for the cover using the date pickers.
- Uncheck the check box if the cover is required for part of the day and select the start and end times or keep the All day box checked.
- Select Assign teachers.
- The system will display all lessons during the time the teacher requiring cover and you can select each lesson to assign cover.
- Select a teacher to cover the lesson using the dropdown.
- Select Create cover.
You have created teacher cover from Covers.
Notes:
- All teachers are available for cover, allowing classes to be merged if necessary.
- Teacher availability should always be checked to avoid timetable clashes or conflicts.
- Planned teacher cover does not need to be assigned all at once. Go to Covers > Teacher cover any time to complete, update, or adjust cover allocations.
Keeping teachers informed of their cover
Teachers will receive an email from Timetable 2.0 letting them know when:
- a teacher is covering a class
- a teacher's class is being covered
- there are room changes.
