Introduction

Room Cover allows Timetablers to assign an alternative room when a scheduled room becomes unavailable. This helps maintain the timetable without requiring permanent timetable changes.  Timetablers can now update room resources directly on the published timetable.

How to set up room covers

You can create and manage room cover directly within the published timetable.  To set up cover:  

  1. Click Covers from the top menu to go to the Room cover page  
  2. Select Create room cover  
  3. Choose the room that needs covering and specify the dates/times that it will be unavailable.   
  4. You can select a specific time or tick All day if full-day cover is required  
  5. Click Assign rooms to create the cover . You will be shown all the lessons that need a replacement room.
  6. Click on assign on each lesson and select a replacement room.

  7. When you return to the covers page you will see a list of all the Completed, Upcoming, and Active covers. You will also see how have been assigned, and how many still need assigning.

  8. Next to each room name, the Actions menu (three dots) will allow you to view, edit or add covers as needed.  


Notes: 

  • All rooms are available for cover, allowing classes to be merged if required. Room availability should always be checked to ensure there are no clashes. 
  • Room Cover is a temporary operational change and does not modify the underlying timetable. 
  • Cover applies only to the specified lesson(s) or period(s). 
  • Existing timetable functionality remains unchanged.
