Before you start
- Make sure you have access to the system and that your MIS/SIS data sync (if applicable) has completed.
- Gather key information such as term dates, staff availability, room usage rules, and your class/subject structure.
Setup steps (recommended order)
- My School Year – Add your term dates and define the daily structure (for example, periods and timings). This provides the calendar framework used across the system.
- Rooms – Add rooms and set subject permissions so the system knows where each subject can (and cannot) be taught.
- Students and Groups – Check students are organised correctly in your MIS groups and any custom groups you use for timetabling.
- Staff – Set teacher availability with allowances for Planning, Preparation and Assessment time (PPA), Release from Face-to-Face (RFF) or Duties Other Than Teaching (DOTT), teachable subjects, and any group links needed for allocation.
- Classes and subjects – Combine your rooms, staff, students, and subject structure to create the teaching groups used for timetable generation.
Next steps
Once you’ve completed the steps above, you’re ready to start building and generating your timetable. If something doesn’t look right (for example, missing students, incorrect groups, or staff availability issues), revisit the relevant step and correct the underlying data from your MIS/SIS to update the information, before generating again
